Integrate Outlook with SharePoint for enhanced email & document management
 
The challenge  We are a top 50 UK law firm and are considering migrating to a Microsoft SharePoint platform for Document Management. However, we are concerned that SharePoint does not provide us with adequate email management facilities. The majority of content being added to our existing document management system originates from email. As you would expect, a good deal of attention has been given to email management by some of the more recognized document management vendors operating in the legal sector. Therefore, we are mindful that this functionality needs to be a key requirement for any successful Microsoft SharePoint document management solution. We have found that the user experience of moving attachments and emails from Microsoft Outlook to SharePoint is time consuming and can leave valuable metadata behind. We expect a familiar and intuitive user interface and the simplicity of drag-and-drop, right click, and other desktop operations. We also require the ability to share, classify and access information easily - functionality we can find within SharePoint.

The solution  The Colligo Contributor Outlook Add-in provides a convenient way to synchronize SharePoint document libraries (including sub-folders) with Outlook folders. Staff can easily copy or move documents, emails, and attachments between Outlook and SharePoint, as they do with any other Microsoft application. This can be achieved either manually with a simple drag-and-drop or automatically using Outlook rules.

With emails, Contributor automatically captures standard message fields and maps them to metadata in the SharePoint document library. Additionally, custom metadata can be updated immediately with the Outlook Add-in. Content can be made available for online-only access or it can be cached locally for offline use. With offline mode, content is synchronized to an encrypted local data store - it is not stored in Outlook (.ost or .pst). This Outlook Add-in delivers powerful functionality for email retention and collaboration applications. It can help drive overall adoption of SharePoint across your firm.
