​Our client wanted to create automatic links between property and unit data in Horizon Property Management and Open Text Document Management to consolidate and centralise access to documents for ease of reference, accuracy, integrity, compliance and audit.

Challenge

Our client is a UK listed property company and a FTSE 100. They own £6bn of properties in UK regional shopping centres and retail and needed to create automatic electronic links between property and unit data held in Horizon Property Management and Open Text Document Management to consolidate and centralise access to property deeds, leases and records for ease of reference, accuracy, integrity, compliance and audit. When buying properties the lease information created by lawyers was rekeyed by client staff into Horizon PM with in a laborious process prone to delays and errors.

Solution

we integrated Horizon PM and Open Text DM so that the creation of a new unit in PM, automatically created the folders in DM for the relevant unit’s documents. Cross referencing and metadata was created automatically when dragging & dropping content. Lease information was captured within the lawyers’ Microsoft Word document and then extracted and stored within Horizon PM by OSCRE Data Standard.
